We've kept this policy as simple and fair as possible. All charges are calculated on the total trek cost at time of booking. If you need to cancel or have concerns, please reach out to us directly — we'll always try to find a solution that works for everyone.
Cancellation Timeline
Cancellations made more than 30 days ahead give us enough time to rearrange logistics without significant loss. We retain only a small 5% service charge to cover administrative and banking costs already incurred on your booking.
Within this window, guides have been confirmed, teahouses reserved, and permits often arranged. A 20% charge reflects the costs that are already committed and non-recoverable on our end.
With less than a week to go, nearly all arrangements are locked in — your guide is ready, the route is planned, and teahouses are expecting you. A 50% charge applies to cover these committed costs.
Cancellations within 24 hours carry the same 50% charge. At this stage your guide has travelled, logistics are in motion, and it is not possible to reassign resources elsewhere. We appreciate your understanding.
Service Charge Summary
Returning Midway
If You Leave the Trail Early
If you begin a trek and need to return partway through — for any reason — the full trek cost is non-refundable. Our guides, teahouses, and logistics have already been deployed for your journey.
No refund on remaining trek days
Once a trek has begun, the cost is fully committed regardless of how many days remain on the itinerary.
Emergency evacuation costs
Any costs related to emergency evacuation — helicopter, transport, or medical — are the responsibility of the trekker. We strongly recommend travel insurance that covers mountain evacuation.
Travel insurance is strongly advised
We recommend all trekkers hold comprehensive travel insurance covering cancellation, medical emergency, and evacuation before departure.
Our Goodwill Offer — Pokhara Accommodation
Complimentary arrangementWhile we cannot issue a refund for unused trek days, we will arrange comfortable hotel accommodation in Pokhara for the number of nights that remain on your itinerary — at no additional charge to you.
A Few Important Details
Date Changes
If you'd like to shift your trek dates rather than cancel outright, contact us as early as possible. We'll do our best to accommodate date changes without any penalty if notice is given well in advance.
Weather & Force Majeure
In the unlikely event we cancel a trek due to severe weather, natural disaster, or safety concerns, you will receive a full refund or the option to reschedule at no extra cost.
Refund Processing Time
Refunds are processed within 7–14 business days of cancellation confirmation. International transfers may take a few additional days depending on your bank.
How to Cancel
All cancellations must be submitted in writing via email to info@discoverparbat.com. The date of that email determines which charge tier applies.
